Workflow Automation Assessment

A fixed-scope assessment of one or more manual workflows: what they really do, what can be automated, what should not be, and what it would take.

What you need to know first

What problem does this solve?
A process is known to be wasteful, but nobody can say whether automating it is practical. The process as documented is not the process as performed, the exceptions are only in people’s heads, and the systems involved may or may not expose the access an automation would need.
What exactly do I receive?
A written assessment of the workflows in scope: what actually happens today including the exceptions, which steps can be automated and which should stay with a person, what each system genuinely supports, the risks, and an effort estimate for the implementation. It is decision-ready, and useful even if the answer is "not this way".
How is it priced?

What happens next?
Send an enquiry describing the requirement. We confirm the scope, the fee and the timescale in writing before any work begins. An enquiry is not an order: an engagement becomes binding only when it is expressly accepted, as set out in the Terms of Service.

Stating the boundary is part of the offer. Anything here can usually be arranged separately.

  • Building the automation — that is the separate Workflow Automation Implementation service
  • Software licences, subscriptions or platform fees
  • Changes to any system
  • Any commitment that a given workflow can be automated; establishing that is what this assessment is for
  • Organisational change management or staff training, unless separately scoped

Customer prerequisites

  • A specific workflow, not a general wish to "automate things"
  • Access to the people who actually perform it
  • Someone who can confirm which systems are in scope and what your licence tiers include

Information and access we need

We will ask for these. Where the work needs access to a system, access is arranged and scoped with you rather than assumed.

  • A description of the workflow and who performs each step
  • The systems involved, and your licence or plan level for each
  • Any existing process documentation, even if outdated
  • Known exceptions, and roughly how often they occur
  • Read-only or sandbox access where the assessment needs to confirm what a system supports

    You receive the scope, the fee and the indicative timescale in writing. Nothing begins until it is agreed.

  3. Inputs and access

    We request the specific information and read-only access listed on this page. Anything unavailable is recorded as a limitation rather than guessed.

  4. Analysis

    The work itself, against a defined method rather than an ad-hoc look.

  5. Delivery

    You receive the written output, including prioritised findings and what we would and would not do next.

Frequently asked questions about this service

What kinds of workflows can you automate?

The recurring, rule-based ones that currently depend on somebody remembering: moving information between systems, producing and circulating a document, routing something for approval, generating a recurring report, keeping two records in step, triggering a notification when a state changes.

What is deliberately not automated is judgement. A good automation keeps the decision with a person and removes the clerical work around it, which is also what makes it safe to operate when something unexpected arrives.

Will you need access to our systems?

For most Consulting work, some access is needed — but it is scoped and agreed with you, never assumed. Each service page lists what it needs under "Information and access we need".

The principle applied is least privilege and shortest duration: read-only where reading is enough, a sandbox or test environment where one exists, access limited to the systems in scope, and removal at the end of the engagement.

The Consulting Services Terms record that the client provides reasonably necessary access and credentials, and that each party will use reasonable safeguards for confidential information received in connection with the engagement.

Is an assessment charged separately?

Yes. An assessment is its own service with its own fee and its own deliverable, and it is not a free pre-sales exercise.

That is deliberate. An assessment that is bundled into an implementation quietly pressures its own conclusion towards "yes, proceed". Paid for separately, it is free to conclude that the implementation should be smaller, different, or not done — which is frequently the most valuable thing it can tell you.

Where an assessment and a following implementation are commissioned together, any relationship between the two fees is stated in the written scope.
